Closing out the year: Data deadlines and Report Card timeline

With the end of the school year approaching, it is time to share information and deadlines for closing out your 2018-19 data and the publishing of the 2018-19 Report Card.

The last date to submit your data is Friday, June 14. Please make sure that the individual(s) responsible for entering this data within your school district is fully aware of this deadline.

NEW: This year, there will be only ONE opportunity to appeal Report Card data (as opposed to “pre-appeal” and “appeal” windows). This opportunity will come prior to the release of the public Report Card, which is tentatively set for Sept. 16. It is critical that your team takes time to review data and make any appeals during that single appeal window, which is tentatively set for Aug. 12-23. See schedule below.

On May 7, districts should have received an email with the 2018-19 Year-End Signoff Document.

  • This document must be signed by multiple individuals to indicate that your district has completed all the necessary steps to ensure your data is ready to be used for the annual Report Card process.
  • The Year-End Signoff document must be returned by June 21 to:

Once again, we will be using the SD-STARS system to make the Report Card data available to school districts before it is released to the public.

Key Dates (Tentative) for the 2018-19 Report Card (public schools only)

  • June 14: Last date for districts to make changes to 2018-19 data in Infinite Campus, Personnel Record Form (PRF) system, Perkins CTE Data System, and Safe, Drug- and Gun-Free Data Collection System.
  • June 21: Year-End Signoff document must be returned to Judy Merriman at the Department of Education.
  • Aug. 5: Districts have access to their private Report Card data in SD-STARS and begin the process of reviewing and validating their data.
  • Aug. 12-23: Districts have the opportunity to make appeals related to their Report Card data. This is the ONLY appeal window.
  • Aug. 23: Appeal window closes at 5 p.m. CDT.
  • Sept. 13: Department makes final decisions on appeals.
  • Sept. 16:
    • Department shares state-level data from 2018-19 Report Card at South Dakota Board of Education Standards meeting.
    • Press release issued.
    • Public Report Card goes “live” with state-, district-, and school-level data.
